Situation:
Celebrate the opening of the new Chicago Architecture Center while engaging donors, partners, vendors, civic leaders, and volunteers.
Task:
Create and execute a schedule of grand opening events including two VIP events, an official ribbon cutting, and a members-only open house. Additionally, keeping this schedule conscious of the ongoing construction and account for flexibility in case of delays.
Action:
As the inaugural event in the new space, we were responsible for blazing the trail for guest logistics, vendor load-in and overall event management. We used a 20x100 clear top, clear span tent attached to the side doors in order to manage guest flow and provide extra room. The tent – as well as the inside of the center – was filled with décor and print featuring the new visual identity of the Chicago Architecture foundation. For each event, we managed invitations, RSVPs, registration, security, audio-visual elements, live entertainment, catering, and a photo booth. We set detailed timelines for each event in order to ensure a steady programming flow while still giving each guest time to explore the new city model and skyscraper gallery. Additionally, the ribbon cutting ceremony featured Mayor Rahm Emanuel and a special live performance by jazz legend Kurt Elling.
Result:
More than 2,000 guests were able to see the new Chicago Architecture space in the three days leading up to the official public opening. Over 300 social media posts were made with the event hashtag, #GetToTheCenter. The Mayor proclaimed August 31 as “Architecture Day” in Chicago.
